Why your brand guidelines belong online

PDF brand guides go out of date the day they're sent. Here's what changes when guidelines live on the web.

Most brand guidelines start life as a beautiful PDF. A few months later there are three versions in circulation, the logo folder lives on someone's drive, and nobody is sure which colour code is right.

The problem with a file

A PDF is a snapshot. Every update means a new file, a new email and hoping people delete the old one. Files get separated from the guidelines, and "the latest version" becomes a matter of opinion.

What changes online

  • One link that stays current. Publish a new version and everyone with the link sees it — no new attachment.

  • Files next to the rules. Logos, fonts and templates sit right under the guideline that explains them.

  • Copy, don't retype. Readers click a colour to copy its value instead of squinting at a page.

  • Safe editing. Work on a draft while everyone keeps seeing the approved version.

  • The right people. Share a brand with an agency without opening up everything else.

Start small

You don't need a hundred pages. Logo, colours, typography and a handful of do's and don'ts already solve most daily questions. Add the rest when people ask for it.
